About this position:
The Training Assistant performs administrative duties including maintaining agency training files, department supplies and equipment; managing correspondence and preparing documents. Coordinates the training calendar, travel arrangements, meetings and catering logistics.
This is a limited duration position Full-time, hourly role with benefits; remote within one of our six states (AK, HI, ID, IN, KY, WA).
Hours are typically 8:30 – 4:30 (7.5 hrs/day) M-F but flexible.
What you’ll be doing:
- Coordinates annual onboarding calendar in collaboration with training management, HR and other departments who provide/oversee delivery of Instructor-led training. Works with supervisors to assign trainer coverage annually and modifies assignments as needed.
- Coordinates meeting and training logistics; secures conference rooms and/or virtual meeting reservations; prepares and assembles materials; utilizes Outlook to schedule people and resources necessary for the delivery of training.
- Performs clerical/support duties including but not limited to, word processing, data entry, mailings, preparation of training materials.
- Utilizes help desk and email; actively screens and responds to requests within their role; re-assigns tickets to the appropriate team member for tasks outside of their immediate scope.
- Utilizes HealthLMS to document employee training and certifications following departmental procedures.
- Reviews CPR compliance via monthly HealthLMS reports; works with managers to enroll staff in agency provided or external CPR courses prior to expiration of certification. Coordinates enrollment, identifies appropriate external vendors and arranges payment for services, sends CPR training notifications to staff and their supervisors; collects CPR certifications and uploads records into LMS. Supports agency CPR trainers by providing class rosters, ordering electronic CPR cards and submitting appropriate paperwork to certification organizations on behalf of trainers.
- Edits, formats and distributes training aids, evaluations, manuals and handouts.
- Creates survey tools and provides back up administrative duties for management of survey accounts.
- Coordinates, maintains and publishes training calendar and other information on department SharePoint site.
- Prepares and tracks invoices for training services provided.
- Works collaboratively with department colleagues to assure back up coverage for essential functions within the department in the event of absence.
- Adhere to the PPGNHAIK code of conduct and all policies, procedures and protocols.
- Demonstrate and maintains a high degree of professionalism.
- Take action to support the affiliate’s commitment to equity, diversity and inclusion.
- Support and act in accordance with the PPGNHAIK customer service standards.
- Value continuous learning and seek ongoing training and development.
- Proficiency in SharePoint; Adobe Pro; Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint required)
- Database experience preferred
- Excellent verbal and written communication and customer service skills.
- Excellent accuracy and organizational skills.
- Driver’s License and reliable transportation for local travel required.
- Experience with reproductive healthcare in a clinical office or hospital setting with knowledge of EMR
- Spanish-speaking *Bi-lingual employees may be eligible for an hourly premium*
PPGNHAIK's compensation philosophy is based in equity and transparency. Starting offers are determined by the candidate's directly applicable experience, location and internal equity within the paygrade. The pay range for this position is $19.48 - $26.48/ hr.
